Our client is a growing Real Estate and Property Management Company In Portland, USA . They are a prominent and dynamic real estate agency dedicated to delivering exceptional service and expertise to clients in the Portland area. Our team is committed to providing unparalleled support and guidance to individuals navigating the real estate market.
We are seeking a detail-oriented and organized individual to join our back-office support team as a Sales & Property management Coordinator/Assistant. This role will be pivotal in ensuring smooth and efficient real estate transactions by managing administrative tasks, coordinating communication between agents, clients, and various stakeholders, and maintaining accurate documentation throughout the process and ensuring smooth operations and delivering superior customer service to buyers , sellers, property owners and tenants.
Responsibilities:
Transaction Management: Oversee and manage the administrative aspects of real estate transactions from contract to close. Ensure all necessary paperwork, contracts, and disclosures are accurately completed and compliant with legal requirements. Assist seller agents and help with preparing documents, following up with customers on signature etc and organizing documents.
Property management Coordination:
Serve as the point of contact for property owners and tenants, addressing inquiries, resolving concerns, and providing timely assistance.
Monitor and manage Homeowners Association (HOA) violations by communicating with property owners and tenants, facilitating resolution, and ensuring compliance with HOA regulations.
Assist with financial tasks such as rent collection, invoicing, expense tracking, and generating reports for property owners as needed.
Database Management: Maintain accurate records of leases, contracts, correspondence, and other property-related documentation, client information and relevant documentation in CRM systems or databases.
Communication: Collaborate with property managers, leasing agents, and other internal teams to ensure seamless operations and exceptional client service delivery.
Timeline Management: Maintain transaction timelines, deadlines, and schedules to ensure seamless progression of deals.
Client Support: Provide exceptional customer service to clients, addressing inquiries, providing updates, and offering assistance throughout the transaction process.
Problem Resolution: Proactively identify and resolve potential issues or bottlenecks that may arise during the process.
Collaboration: Work closely with property managers, leasing agents, and other internal teams to streamline processes and ensure seamless operations and exceptional client service delivery.
